Loving Care Animal Clinic is seeking a dedicated Veterinary Customer Care Representative to join our fast-paced, compassionate team. As the first face our clients see and the first voice they hear, you play a vital role in setting the tone for their entire visit. We are looking for someone who thrives in a busy environment, handles stressful situations with grace, and is passionate about providing top-tier service to both our two-legged and four-legged guests.

Key Responsibilities

  • Client Communication: Answer multi-line phones, direct calls, and respond to client emails with professionalism and warmth.

  • Scheduling: Book and confirm appointments, surgeries, and boarding reservations using our veterinary practice management software.

  • Greeting & Check-In: Welcome clients and patients, manage the lobby flow, and ensure all patient records and intake forms are accurate and up-to-date.

  • Triage: Listen to client concerns and communicate effectively with the medical team to prioritize urgent care cases.

  • Check-Out & Invoicing: Process payments accurately, review invoices with clients, and schedule follow-up visits.

  • Record Management: Create new patient files, update existing records, and process prescription refill requests.

  • Facility Maintenance: Keep the reception area, lobby, and front-of-house clean, odor-free, and welcoming at all times.

  • Closing Procedures: Execute end-of-day duties, including balancing the cash drawer, running daily transaction reports, securing patient files, and prepping the front desk for the next morning.

Qualifications & Skills

  • High school diploma or equivalent.

  • Previous customer service experience is required.

  • Prior experience in a veterinary or medical office setting is highly preferred.

  • Strong multi-tasking skills and the ability to remain calm in a high-traffic, occasionally stressful environment.

  • Excellent verbal and written communication skills.

  • Proficiency with basic computer systems and the ability to learn new software quickly.

  • Genuine comfort and confidence around a variety of animal temperaments.

  • Compassion and emotional intelligence to support clients who may be facing difficult pet health decisions.
